  1. Definitions

In this Privacy Policy all reference to:

“I”, “me” and “my” refer to Maria Waite, a sole trader trading as MLW Proofreading and who owns the website at;

“the website” means the website of;

“you” and “your” refer to the person browsing or viewing the website of, ordering a service via the website or agreeing to pay for a proofreading, proof-editing or transcription service arranged via direct contact with Maria Waite;

“we” means you and Maria Waite;

“work” mean the work being proofread, copy-edited or transcribed;

“service” means the proofreading work that is purchased via or by contacting Maria Waite direct.

  1. Scope of the Privacy Policy

2.1 This Privacy Policy tells you how I will use and protect any information you give me either via email or through my website.

2.2 As MLW Proofreading is only me, there are no complications regarding third parties. I will ensure your information and personal data is kept in accordance with this Privacy Policy at all times.

3.1 When you ask me to do work for you, browse my website or send me an email, you are agreeing to this Privacy Policy and my Terms and Conditions.

5.1 Your name, and address, and email address – I need this information to maintain contact with you and to comply with current tax regulations set down by HMRC.

5.2. I may ask for information about the type of business you are working in, the name of your business and any other relevant information for the work. This information is simply for my own use, to understand you and the work better.

  1. Controlling the use of your personal information

6.1 I commit to safeguarding and securing the information that is collected from you and have put in place suitable physical, electronic and managerial procedures to ensure this. I am aware of my need to abide by the General Data Protection Regulation, which came into force on 25 May 2018, and have assessed the situation regarding the information I request from you, how it is stored and the steps I would need to take in the event of a breach of personal data that results in a risk to your rights and freedoms.

6.2 All information related to you is treated as strictly confidential and no information will be made available to a third party unless authorised in writing by you and unless any of the limited conditions listed in 6.3 below apply.

6.3 I reserve the right to disclose personal information if (a) mandated by law, (b) you bring any court action against me and (c) I believe that such action is necessary to protect and defend the rights, property or safety of my website, its users or the public.

6.4 All documentation containing your address will be deleted once I have sent you the final invoice for work done.

6.5 The invoice(s) sent to you from me will include your address. I will keep invoice(s) for about 7 years and they will then be permanently deleted. I need to keep these invoices in case HMRC investigates my tax records and requires evidence to be sent to them of the work I have done, which might include sharing contents of emails with them. After that time the emails will be permanently deleted from my system.

7. Links to other websites

7.1 My website contains links to other websites of interest. Once you have used these links and leave my website, you should note that I do not have any control over any such website and, therefore, cannot be held responsible for the protection and privacy of any information that you provide whilst visiting such sites, and such sites are not governed by this Privacy Policy.

7.2 Be careful when visiting other websites and always look at their privacy policy.

8.1 You may request the details of any information I hold about you under the General Data Protection Regulation of 25 May 2018. If you would like a copy of the information held please email me at
